Hygiene department — kit issued, requested and counted
Starting…
Select the folder that contains DATA_DoNotEdit — or DATA_DoNotEdit itself.
Chrome or Edge on a desktop PC. This tool reads the hygiene data folder and writes
only inside its own 06_PPE_Equipment folder.
Write PPE & Equipment data into this folder?
This folder has been checked and looks like the hygiene data folder: —
The tool will create SHARED/06_PPE_Equipment and write only inside it.
Nothing else in the folder is ever changed.

This is the same password as the Hygiene Management dashboard. It stops
an admin account being used by accident — it is not a security lock.

Issue kit
Record something you have just handed to somebody. No approval — it already happened.

About to be recorded
Request something
Ask for kit, with a reason and photos. This tool orders nothing — it writes the
request down and builds the email for you to check and send.

The request
Requests
Progress is read from the stock records tagged to each request — nothing here
is typed in twice, so a request and the shelf can never disagree.
Record a stock change
Stock editors only. Every one of these is a new permanent record —
nothing is ever edited or deleted.
What is where
A figure is only shown once somebody has counted that shelf. Until then the
tool shows the movement so far and says plainly that it is not a count.
Print a stock-check sheet
A blank sheet to walk round with. Print it, count, write the numbers on the
paper, then key them in with Correct on the list above — the differences come out in
the report below.
What was missing and what was extra
Every count, and what the tool expected to find just before it. A
first count of a shelf has nothing to compare against — that is an unknown, not a
difference of zero, and it says so.
Who needs topping up
When a manager’s holding drops to or below their top-up level, it shows
here. It is a prompt, never a block.

History
Every record, newest first. Nothing is ever edited or removed — a correction is a
new record, so a mistake and its correction both stay visible.
Admin — templates, people and faults
Everything the tool could not make sense of is named here, never
silently dropped.

Where each group’s requests are emailed
Each group emails its own people. To is who
receives the request; Cc is copied in. Saved straight into
Templates/groups.csv, which you can also edit in Excel.

Who may edit stock
Tick somebody to make them a stock editor —
they can record deliveries, moves, returns and write-offs. Counting a shelf and adjusting a
figure are kept to admins, because those set the recorded level rather than record a movement.
Saved into Templates/Stock/roles.csv.
Admin is not set here — it lives in the is_admin column of
employees.csv, which this tool only ever reads.
What this list can and cannot do.
It decides what the tool offers. It is not a lock: this file, and
employees.csv beside it, can be opened and edited by anyone who can
reach the folder in Explorer, and doing so grants the role without going through this screen.
Treat these records as a record of what people said happened, not as proof of who did what
— they are not evidence for a disciplinary process.

Photos no request points at
Photos are written before the request they belong to,
so a save abandoned half-way can leave a stray file. This tool lists them and never deletes
anything — remove them in Explorer if you want to.
Cancel a record
Nothing is deleted. This writes a new permanent record saying the old one was a
mistake — both stay visible, so the correction can be read months later.
Correct what is on the shelf
This records a count. It sets the figure to what you type — it does not
add to it. Everything recorded before it is overridden.
